These Terms and Conditions govern the engagement and delivery of corporate hosting, team building, outbound training, and event management services provided by Field Art ("Company", "we", "us") to the client ("Client", "you"). By confirming a booking, paying an advance, or executing a work proposal, you agree to be bound by these terms.
2. Booking & Confirmation
A booking is considered confirmed only upon receipt of the agreed advance payment and written confirmation (via email or signed proposal).
Dates and host availability (including MC Jai) are locked on a first-come, first-served basis upon advance receipt.
3. Payment Terms
Advance Deposit: A non-refundable advance (typically 50% unless otherwise agreed in writing) is required to secure the event date and schedule.
Balance Payment: The remaining balance must be settled either prior to the commencement of the event or immediately upon conclusion of the event, as stipulated in the invoice/quotation.
Additional Charges: Any overtime, extra activities, unplanned material requirements, or extended facilitator hours requested on-site will be billed separately.
4. Cancellations & Rescheduling
Client Cancellation: In the event of a cancellation initiated by the Client, advance payments remain non-refundable to cover pre-event prep, reserved dates, and procurement costs.
Rescheduling: Requests to reschedule must be submitted in writing at least 7?14 days prior to the event date, subject to slot availability and mutual agreement.
Force Majeure: Neither party shall be held liable for failure or delay in delivering services due to acts of God, extreme weather, government restrictions, strikes, or unforeseen natural disasters. In such cases, events may be rescheduled by mutual consent.
5. Participant Safety & Outbound Activities
Certain team building and outbound sessions involve physical movement, outdoor games, and team challenges.
The Client is responsible for ensuring participants are medically fit to engage in planned physical activities.
Field Art enforces high standards of supervision and standard game safety; however, participants engage at their own risk. Field Art is not liable for personal injuries, health episodes, or loss/damage of personal property during the event.
6. Client Obligations & Venue Logistics
The Client is responsible for providing timely access to the event venue, audio-visual setups (PA systems, wireless microphones), staging, and required permissions/permits unless explicitly included in the Field Art scope of work.
Any property damage to the venue, AV equipment, or props caused by participants will be the sole responsibility of the Client.
7. Media & Intellectual Property
Field Art reserves the right to capture photographs or short video snippets of the event activities for internal archival, case study, and promotional/portfolio use, ensuring no confidential corporate data is disclosed.
Proprietary activity frameworks, games, modules, and training materials remain the intellectual property of Field Art.
8. Governing Law & Jurisdiction
These terms shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or related to these terms shall fall under the exclusive jurisdiction of the courts in Chennai, Tamil Nadu.
